Electronic signatures on cleaning reports: 2026 guide

For a routine cleaning report (end of stay, turnover between two guests), a simple electronic signature traced with a finger on a smartphone screen is sufficient in the vast majority of cases. It only carries weight if the report it validates is precise, dated, illustrated and stored without any possibility of modification. This guide explains what the law says, which signature level to choose, how to set it up on a mobile device, and what supporting evidence to attach so a report holds up when a dispute arises.

In brief

  • An electronic signature cannot be rejected as evidence solely because it is digital: the European eIDAS regulation and the French Civil Code both establish this.
  • For a routine cleaning report, the "simple" level is generally sufficient. The advanced or qualified level is justified when a significant financial or contractual interest is at stake.
  • The signature does not replace the content: timestamped photos, the property address, arrival and departure times, noted anomalies, and precise readings are what give a report its strength.
  • A signed report must be stored in a way that guarantees its integrity and allows it to be retrieved, organised by property and by date.

Why sign a cleaning report

In short-term rental, a cleaning report serves three people. The owner or property manager gets proof that the property was ready before guests arrived. The cleaner gets a record of exactly what they did and what they found on arrival (stain, breakage, missing linen). And the guest can be involved if a dispute arises over the condition of the property at checkout or check-in.

The signature adds something that a simple "cleaning done" checkbox does not: it identifies the person attesting to the content, at a specific moment. Without it, a report can be challenged ("I didn't fill that in", "this document was altered"). With a signature and a timestamp, the chain of responsibility becomes legible.

That said, a signature is only useful in certain situations. A standard turnover with no incident does not require a heavy-handed process. A recorded damage, a deposit deduction, or a dispute with an owner or contractor does require a solid report.

What the law says: simple, advanced and qualified signatures

The European eIDAS framework

Regulation (EU) No 910/2014, known as eIDAS, provides that an electronic signature cannot be denied legal effect or admissibility as evidence solely on the grounds that it is in electronic form. It defines an electronic signature as data in electronic form which is attached to or logically associated with other data and which is used by the signatory to sign.

The European Commission distinguishes three levels:

Level Principle Example use in cleaning
Simple Electronic data associated with a document and used to sign it Finger trace on screen at the end of a cleaning visit
Advanced Identifies the signer, remains under their control and makes any subsequent modification detectable Significant service contract, amendment, high-stakes property condition report
Qualified Advanced signature created with a qualified device, backed by a certificate issued by a qualified trust service provider High-stakes legal act where full equivalence with a handwritten signature must be guaranteed

The definition of a qualified signature appears in the text of the regulation, which also specifies that only this level guarantees full legal equivalence with a handwritten signature. That does not mean lower levels have no value: they remain admissible, and their weight depends on the surrounding evidence.

French law

In France, Articles 1366 and 1367 of the Civil Code complement this framework. According to the version published on Légifrance, an electronic document carries the same evidential weight as a paper one if its author can be identified and if the document is created and stored under conditions that guarantee its integrity. The same section defines an electronic signature as a reliable identification process, linked to the act, that expresses the signer's consent.

Three practical conditions follow for a cleaning report:

  1. knowing who signed (a named account per cleaner rather than a shared login);
  2. linking the signature to the exact content of the report (the same file, not a separate page);
  3. storing the document in a way that proves it has not been altered after the fact.

For businesses, the guide from France Num notes that the advanced and qualified levels, which involve a trusted third party, are the most recommended. Bear that in mind for contracts. For an end-of-visit record, proportionality remains the rule.

Which level to choose for each document

The right level depends on what the document could trigger. Here is a simple guide.

  • Turnover cleaning report: simple signature. The priority is day-to-day traceability, and the proof rests mainly on photos and timestamps.
  • Cleaning report with an anomaly (damage, missing item): simple signature, but with detailed photos, a precise description and, where possible, confirmation from the property manager.
  • Contract with a cleaning company or contractor: advanced signature, or qualified if the amount or duration demands it.
  • Significant quote, expert assessment or document that could be used in legal proceedings: advanced level as a minimum. A professional in the sector also recommends advanced for documents with significant financial or contractual stakes, while considering a touch signature sufficient for routine intervention reports.

If you also manage guest check-in, the same logic applies to arrival formalities: an online check-in connected to the PMS similarly distinguishes routine documents from those that create contractual obligations.

A common-sense rule: do not ask a cleaner to go through a complex identity verification process to sign off on a two-hour visit. A process that is too burdensome will eventually be bypassed, making it worthless.

Setting up signatures on a smartphone

The smartphone is the cleaner's natural tool: they have it in hand inside the property, at the moment of inspection. As an example of how this works in practice, the documentation for one mobile reporting app describes a signature field that opens full screen, the signer traces their signature with a finger or stylus, confirms it, and the signature is embedded in the final PDF. It also notes that the trace can be captured without an internet connection, stored locally, and sent when the report is saved or submitted.

That last point matters in rental properties: basements, ground-floor flats and mountain properties often have poor signal. Here is a five-step approach.

  1. Define who signs what. The cleaner signs the end-of-visit record; the property manager validates the report if your process calls for it. Write this into your protocol.
  2. Give each cleaner their own login. A personal account for each person makes it possible to know who completed and signed each report. Avoid shared passwords.
  3. Standardise the content. An identical checklist for every property makes reports comparable. Our guided illustrated cleaning checklist is available in six languages, which avoids misunderstandings with multilingual teams.
  4. Require photos before closing the report. A report without photos should not be signable.
  5. Archive automatically. The signed report must go into a space organised by property and by date, not into a messaging thread.

What a cleaning report must contain

A signature under a vague report proves nothing. The guide from the UK deposit protection scheme, the Tenancy Deposit Scheme, is written for a different legal system, but the logic applies: the report must describe the property, its contents, the cleanliness and condition of each room, with photos, the make and model of relevant appliances, outdoor spaces, meter readings and keys. It recommends precise descriptions rather than vague phrases such as "perfectly clean". Evidential value comes from a detailed, consistent record that can be compared over time.

For a turnover report, a French professional guide highlights in particular the property address, the cleaner's arrival and departure times, before and after photos, and any anomalies. In practice, the key elements are:

  • property identity (address, internal reference);
  • the cleaner's identity, date, arrival and departure times;
  • the condition of each room, with before and after photos;
  • anomalies: breakage, stain, forgotten item, fault, with a photo and factual description;
  • consumables and linen stock, with anything that needs replenishing;
  • the cleaner's signature, and the manager's sign-off if your process requires it.

A methodological note from the same British guide: the report must be contemporaneous with the condition observed. A checkout inspection ideally takes place as soon as guests leave, before any cleaning or remedial work begins. A report written the following day from memory loses much of its evidential weight.

Our page on the cleaning report with timestamped photos details what we recommend including, and the page on photo proof of cleaning in case of a dispute compares the different approaches.

Storing and retrieving signed reports

A signed report you cannot find is useless. Three principles apply.

Integrity. Article 1366 of the Civil Code requires that a document be stored in a way that guarantees its integrity. In practice: a fixed format (PDF), no modification possible after signing, and a timestamp.

Retention period. This depends on the type of document. A specialist article places common practice for signed documents generally between 5 and 10 years. For a cleaning report, base your minimum on how long a dispute could arise: the duration of the relationship with the guest or contractor, plus the potential challenge window. When in doubt, ask your accountant or a lawyer.

Technical durability. The eIDAS regulation provides for long-term preservation so that signatures remain valid despite technological change. This argues for regular PDF exports to a storage space you control, rather than total reliance on a single tool.

Organise your archive by property, then by date. If you need to find a specific report after a dispute, you should be able to retrieve it in under a minute.

How much does an electronic signature cost

The price depends on the billing model (per user, per account or per envelope), the number of users, the volume of documents sent and whether you commit monthly or annually. For reference, a US comparison lists annual prices of 11 USD per month for an individual plan, 30 USD per user per month for a standard plan and 45 USD per user per month for a professional plan from one provider in the sector. These US prices change over time, so check the current rate before deciding.

For a manager with a handful of properties, a general-purpose signing tool for contracts is useful. But paying per signature envelope for every cleaning visit would be disproportionate. A touch signature built into the intervention report is, by contrast, an everyday action that requires no separate subscription when the cleaning management tool already includes it.

Our take

We work with cleaning teams in short-term rentals every day, and one pattern keeps coming up: disputes rarely arise from a missing signature. They arise from a lack of precision. A report with an elegant signature and three words ("cleaned, no issues") protects nobody. A report with timestamped photos room by room, signed with a simple finger trace, provides far stronger protection.

That is why we built CleanClac around individual access: each cleaner has their own smartphone login, which makes it possible to know who did what without complex manual management. Our reports are built on photos and videos, real-time property condition tracking and stock monitoring. We recommend reserving heavier signing processes (advanced or qualified) for contracts and high-stakes documents, and keeping a simple gesture for cleaning visits so that teams actually adopt it.

Our advice: write your protocol, apply the same checklist everywhere, require photos before closing a report, then store everything in one place. The signature level comes after that.

Common mistakes to avoid

  • Signing without photos. A signature attests to a content. Without content, it attests to very little.
  • Using a shared account. It then becomes impossible to identify who signed, which undermines the proof.
  • Editing a report after signing. If a correction is needed, create a dated addendum rather than overwriting the original.
  • Mixing up levels. Requiring a qualified signature for a two-hour cleaning visit discourages teams. Settling for a finger trace on an annual contract exposes you to doubt about its validity.
  • Neglecting the protocol. A team that does not know what is expected produces inconsistent reports. Our professional cleaning protocol provides a starting point.
  • Forgetting the task list. To describe precisely what was done, the list of 166 Airbnb cleaning tasks offers a shared vocabulary.

FAQ

Does a finger-traced signature on a smartphone carry any weight?

Yes, as a simple electronic signature: the eIDAS regulation prohibits refusing it legal effect solely because it is electronic. Its evidential value depends on the surrounding elements: the signer's identity, document integrity, timestamp and photos. For a routine cleaning report, this level is generally proportionate.

What conditions must an electronic signature meet to be valid?

It must be logically linked to the signed data and allow the signer to be identified. In France, the Civil Code requires a reliable identification process, linked to the act, that expresses the signer's consent, and a document stored in a way that guarantees its integrity. Only a qualified signature carries full legal equivalence with a handwritten signature.

What is an advanced signature based on a qualified certificate?

It is an advanced electronic signature created with a qualified device, backed by a certificate issued by a qualified trust service provider. It is justified for contracts and high-stakes documents, and rarely needed for a turnover report.

How long should a signed cleaning report be kept?

There is no single answer: it depends on the type of document, and common practice generally falls between 5 and 10 years for signed documents. For a cleaning report, factor in how long a dispute could arise and confirm the retention period with your legal or accounting adviser.
